Position Objectives:
This position is primarily responsible for assisting the Clerk of Circuit Court and Register in Probate to discharge the duties as defined in Wisconsin Statutes and assist in the day-to-day management of the Court’s administrative functions on a fill-in basis. This position must have knowledge of legal terminology, court proceedings, office practices and proceduresand requires confidentiality of records in accordance with the laws of the State of Wisconsin and office policy. In the absence of the Clerk of Circuit Court or Register in Probate, assume the duties and responsibilities of the office.
Duties and Responsibilities:
The following duties are customary for Deputy Clerk of Circuit Court position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Assist at the counter receipting payments on attorney’s fees, cash bond, filing fees, fines, forfeitures, restitution, and other miscellaneous fees collected by the department to the proper accounts and assessments.
- Assist with answering telephone calls and requests for information.
- Assist the public with electronic filing questions, record search requests, procedural questions, and general filing information and provide forms when requested.
- Enter electronic and manual traffic/forfeiture citations.
- Assist with the filing of all new cases (electronic and paper filings) and documents;
- Accurately prepare process and maintain all electronic and non-electronic records including confidential materials.
- Assist when necessary in scheduling cases and send notices when required.
- Review small claims cases before court dates for proof of service, affidavit of non-military service, itemization, etc.
- Assist with processing small claims judgments, etc. when requested.
- Assist with preparing writ of replevins, and evictions when necessary and collect appropriate fee.
- Prepare contempt orders, and civil warrants for the arrest of parties for non-compliance.
- Assist with monthly traffic court calendars and distribution.
- Prepare and send traffic court notices as required.
- Process disposition of traffic/forfeiture cases.
- Prepare conviction status reports, driver license suspension, revocations, and other documents for reporting to Department of Motor Vehicles as necessary.
- Prepare orders for Alcohol Assessments & Driver Safety Plan.
- Assist customer in completing deferred payment applications and set up payment plans.
- Review monthly DOT Audit Report.
- Review Small Claims, Paternity, and Family cases before court dates for proper service.
- Prepare the courtroom, court calendars, minutes, files (if applicable) for court hearings.
- Perform all courtroom duties when required including posting calendars, swearing in witnesses, keeping minutes, prepare documents as ordered in court including but not limited to cash, signature and surety bonds, and distribute accordingly; mark and receive exhibits and maintain exhibit list; assist attorneys and parties relevant to hearings; calendaring of future activities.
- Assist in managing the collection of unpaid fines, forfeitures, and court costs; send reminder notices, prepare warrant letters, and certify debts to DOR for tax intercept.
- Assist when required in preparing and distributing Judgment of Convictions following court sentencing hearings.
- Prepare Orders of suspensions, revocations and warrants, etc. for failure to pay fines.
- Prepare, verify and distribute monthly warrant report to Pepin County Dispatch.
- Prepares monthly vouchers for payment.
- Assist with preparing files when requested for submission to the Clerk of Court of Appeals.
- Assist in day end closing of receipt station, bank deposits and take the deposit to the bank by close of business day if Clerk of Court is unavailable or unable to do so.
- Assist with reconciliation of accounts.
- Assist with jury management including sending out questionnaires to prospective jurors, review accuracy of questionnaires, entering information into CCAP jury case management system, issuing and sending Summons, jury selection during trials, etc.
- Assist with preparing inventory of equipment annually.
- Perform all other duties as assigned by the Clerk of Circuit Court.
- Attend or participate in Circuit Court Automation Program (CCAP) training to keep up to date with new procedures.
The Deputy Register in Probate position involves a large variety of vital duties and responsibilities to ensure that court proceedings and law requirements are completed efficiently and timely as required by Wisconsin Statutes.
- Performs duties as outlined in appropriate Chapters of the Wisconsin
- Statutes; Indexes, enters, files and records papers received including those dealing with the administration of estates, probate of wills and guardianship, adoption and hospitalization matters;
- Helps to maintain all court records, indices, files minute book and probate records;
- Maintains records, reports and cards and sends to State weekly;
- Makes entries into the court calendar for hearings on wills, claims and accounts;
- Checks County newspapers to see that legal notices are properly published;
- Collects and receipts initial Probate filing fees;
- Makes entries into minute book and other records and ledgers;
- Photostats documents, places in appropriate record book and prepares indexes;
- Arranges for certified copies of documents for attorneys and others as requested;
- Sends bills for filing and certification fees;
- Answers questions and assists with inquiries about informal probate procedures;
- Checks records periodically for compliance with statutory requirements;
- Assists with the drafting of various papers and reports;
- Responds to personal and telephone inquiries concerning probate matters;
- Assists in Juvenile Court matters as assigned;
- Performs secretarial and clerical duties for the Circuit Judge as required;
- Serves as Clerk of Court in all Juvenile Court hearings and mental hearings;
- Performs the duties of the Register in Probate during absences.
Minimum Requirements:

· Cash management and accounting skills
· Proficient computer and data entry skills including email with knowledge of Microsoft Word and Excel
· Ability to readily respond to changing circumstances and expectations
Desirable Training and Experience:
High School diploma with an associate degree in business, accounting, paralegal, or related field is preferred
Two years’ experience in a court-related or legal office setting is preferred
Benefits:
The 2026 Wage scale for the position is $22.51 - $25.73 per hour dependent on experience. This is a part-time fill-in position working on an as needed basis.
